Record fuel, repairs, maintenance, and documents

Fuel, repair expenses, maintenance notes, inspections, defects, and documents can be recorded inside the unified Add/Edit entry form for Daily Logs and Trips.

Add fuel and expense rows

Expense rows can record fuel, tolls, parking, repairs, and other costs with amount, currency, vendor, location, odometer, quantity, unit price, tax, and notes where available. Amounts are stored as decimal values rather than floating point values.

  1. Open Add entry or Edit entry.
  2. Add an expense row.
  3. Choose the expense type, such as fuel or repair.
  4. Enter amount, currency, vendor, location, and supporting details.
  5. Save the entry and review the expense on the detail page.

Add repairs and maintenance notes

Maintenance rows are documentary. Use them to record service category, work performed, provider, odometer, cost, and next-service notes. This is not a fleet-maintenance compliance system, work-order system, parts inventory, or defect-control program.

Attach supporting documents

Use documents and attachments for receipts, inspection reports, photos, invoices, BOLs, and other supporting records. Upload access depends on the current account plan and configured file policies.

If something goes wrong

  • If an expense row is rejected, check amount, currency, and required fields on every row.
  • If a corrected defect is not saved as corrected, add the corrective action text as well.
  • If upload is unavailable, confirm that the account plan includes uploads and that the file type is allowed.
