Request signatures and protect private data

A guest signature freezes an explicit dive snapshot, sends a secure invitation, and preserves the audit history when the signer completes it.

Send a signature request

Signature requests are available only when the plan includes authenticated signatures. Pending, signed, invalidated, or not-requested states appear in the list and detail page.

  1. Open the dive from My Dives or use its signature row action.
  2. Choose Request signature and enter the signer information requested by the modal.
  3. Review the entry label and send the invitation.
  4. Wait for the signer to open the secure email link, review the frozen snapshot, and submit the signature.

Understand the frozen snapshot

The snapshot can include stable dive facts, cylinders, team names and roles, equipment names and categories, and a limited profile summary. It always uses fixed canonical metric units so the signed content cannot change when display preferences change.

Private notes, contact email addresses, contact or diver certification numbers, equipment serial numbers, and private medical context are excluded.

Handle changes after signing

Editing material dive facts, cylinders, team, equipment, or the attached profile can make the frozen snapshot different from the current record. The application warns before saving or replacing/removing the profile.

If you accept, the active signature becomes invalidated but remains in history. Request a new signature when the updated entry should be verified again. Display-unit or form-mode preference changes do not invalidate a signature.

Keep owner-only information private

Dives are private by default. The signature link shares only the frozen allowlisted snapshot with the invited signer; it is not a public dive page.

Files and catalog records remain ownership-checked. Export only the report you intend to share and inspect it before sending it to another person.

If something goes wrong

  • If Request signature is absent, check plan access and whether an active signature already exists.
  • If the invitation is still pending, confirm the recipient address and send a new request only when appropriate.
  • If a signature is invalidated, open its history to understand the state, then request a replacement signature for the updated entry.
